The challenge

What was in the way

Pilots in business aviation spend hours on pre-flight work before every departure: filing the plan with ATC, obtaining defence clearance, coordinating the ground handler, arranging fuel, booking hotels, and preparing the NAVLOG and load and trim sheet by hand — all while ensuring the resulting plan stays inside stipulated flying duty time limits. Each of those steps ran through a different party, in a different format, with no shared record.

The approach

What we did

  1. Mapped the complete pre-flight journey with working charter pilots to establish which tasks actually consumed the time, rather than which ones looked complex.

  2. Built digital flight plan filing that transmits directly to all AAI airports, removing the manual submission step entirely.

  3. Automated NAVLOG generation with precise fuel burn and time calculations, and produced load and trim sheets in the DGCA-approved format for each aircraft type.

  4. Integrated an FDTL calculator directly into the flight plan, so duty-limit breaches surface while the plan is being built instead of after it is filed.

  5. Established cashless settlement with major fuel suppliers and ground handlers across Indian airports, consolidated into a single annual bill.

  6. Added FIC/ADC defence clearance handling, delivered to the crew one hour before departure.
